Reorder plan

PartGroupABCStockDaily demandDays coverReorder ptSuggest qtyOrder value (cost)Health
What the columns mean (same names in the purchase-plan CSV):
daily_demand — average units sold per day in the demand window (Tally invoices + app orders).
days_cover — how many days current stock lasts = stock ÷ daily demand. 0 = already out.
reorder_point — stock level at which to reorder = daily demand × (lead days + safety days).
suggest_qty — units to buy now = (daily demand × cover days) − stock, or at least 2 × reorder level.
unit_cost — cost per unit (Tally valuation rate; dealer price if no cost is known).
suggest_value_at_cost — suggest_qty × unit_cost. dealer_price — our selling price, for reference.
health — out = zero stock · critical = runs out within lead days · low = at/below reorder point. Lead / safety / cover days are set on the Targets tab.

How to read: Stock value is at cost (Tally valuation). Share = value-wise (this category\'s stock value ÷ total stock value). Units sold = quantity in the demand window set under Targets. Sales value 12m = ₹ sold in the last 12 months. Dead/excess = money sitting in stock that isn't moving.

Returns — points to take back

Credit noteCustomerReturned valueBalance nowPoints to take back

How returns work: every Credit Note in Tally for a customer who has app points is checked. If it names the Tally invoice of an app order (in its Reference or Narration), the points are taken back automatically — at the same rate they were earned, on the returned value before GST, and never more than that order earned. Other returns are listed here for you to approve (or taken back automatically if you choose that above). If a credit note is deleted in Tally later, the points are given back by themselves.

New promotion
Photos are cropped to a 3:2 banner automatically. Promotions show on the dealer home screen and apply at checkout.

Customer-wise discounts

Priced exactly like the Tally bill. For parties marked from Tally, list prices, discounts (stock group % on Price 1/2/3, item % or fixed price) and cash discount are copied from Tally by the price sync below - change them in Tally, not here. Parties Tally has no discount list for keep the app's own % and Rules. Changes show live in the customer's app.

Sales invoices in Tally (last 90 days unless you pick dates). Click a row to see its items. "App order" = the VTL app order billed on this invoice. "Returns" = credit notes that mention this invoice number.

Nothing cancelled or returned.

Tally connection

Confirmed app orders go into Tally as Sales Order vouchers (orders already saved as Sales Order VTL stay in that type): party + items only, like the accountant's own sales orders. Only these voucher types can ever be sent; party, items and units must already exist in Tally, or the order waits as needs mapping.
Dry run builds and checks every order but sends nothing. Switch to Live only after the accountant has compared a few previews.

Field reps —

RepCustomersBoughtInvoices SalesReturnsNetPrev month TargetAchievedProjected App ordersOutstanding>60 daysCollected

How to read: Sales/Returns/Net come from Tally invoice lines (net of GST) matched to the app's customer → rep. Target is the sum of the rep's product-group monthly targets (Targets tab). Outstanding is the live Sundry Debtor balance from Tally. Click a rep for product groups, customers and notes.

Monthly targets by rep × product group — click a number to edit

Targets come from the FR target workbook (db\load-targets.sql) and can be edited here. Values are ₹ per month, net of GST. Product groups are the workbook's groups; how sales map into them is on the Setup tab.

A reminder is recorded the moment someone taps Remind (here or in the rep app): who, when, the balance then and the exact message. WhatsApp does not tell us if it was actually sent or read. Statements record when the party opens them. Paid is read from Tally receipts, never typed in. “What they said” is entered by the rep or the office with their name.

Tally parties not linked to an app customer

These sales and balances show under "Unassigned". Fix by setting the customer's Tally name on the Customers tab (or type a customer id here).

Product-group rules — first match wins (lowest priority number)

Each Tally sales line is matched against the part's category, then the Tally stock group, then the item name (case-insensitive regex). No match → OTHERS.

Party ↔ rep mapping

Each party has one main rep (gets the sales and target credit) and can have extra reps who can also see it, order for it and send reminders. Nothing changes until you press Save, every change is logged, and a whole save can be undone.
